This agreement specifically pertains to fixed room contingents, meaning that a set number of rooms are reserved exclusively for your event. It does not apply to call-in allotments, where rooms are booked as needed. The conditions in our agreement only apply if you use the negotiated number of rooms.

Yes, once the room blocks are transferred to you, you have the flexibility increase or decrease the room block. However, the original terms negotiated in the agreement will no longer apply, and you’ll need to discuss new terms with each hotel individually.

No, the price ranges given by the hotels are only valid for the stated year and are intended as a guideline. The agreement does not provide for any standard rate increases. The exact rates must be actively requested individually for the period of the congress.

We recommend not starting negotiations with hotels until we officially transfer the hotel contingents to you, preferably when the venue for the congress is confirmed.

• Room Contingent Size: You have access to a large part of the capacity of the participating hotels.

• Expiry Date: Hotel contingents will be reserved up to 18 months prior to the start of the congress, so you have plenty time for planning.

• Conditions: Hotels agree to allow cancellation of up to 100% of the room block free of charge up to 3 months before the start of the congress, provided a specific contract is in place.
